Job Description:

We are partnering with a diversified investment and operating organization with interests across multiple industries and a long-term approach to building and investing in businesses.

The organization operates across a broad portfolio of businesses (on a global scale), bringing together investment, corporate strategy and business operations within a highly entrepreneurial environment. Its senior leadership team is actively involved across the organization and works closely with executives, operating companies and external partners on a wide range of strategic initiatives.

The organization is seeking an exceptional Chief of Staff to support its Chief Operating Officer & Chief Legal Officer in New York City.

​

This is not a traditional administrative support position. The successful candidate will operate as a true extension of a senior executive whose responsibilities span operations, legal, governance and strategic matters across the organization.

The ideal candidate is highly polished, proactive and resourceful, exercises exceptional judgment and discretion, and has the ability to anticipate needs before they arise.

Key Responsibilities

  • Provide comprehensive executive support to the COO & Chief Legal Officer, including management of a complex and frequently changing calendar.
  • Coordinate internal and external meetings, executive-level engagements, conference calls and events.
  • Anticipate scheduling conflicts, priorities and executive needs, proactively resolving issues before they arise.
  • Manage domestic and international travel, including detailed itineraries, accommodations, transportation and last-minute changes.
  • Serve as a key point of contact between the COO/CLO and senior executives, board members, outside counsel, business partners and other key stakeholders.
  • Coordinate meetings and materials related to operational, legal, governance and strategic matters.
  • Prepare and organize presentations, correspondence, briefing materials and executive-level documentation.
  • Track priorities, commitments and follow-up items to ensure important matters are executed on schedule.
  • Handle highly confidential, privileged and sensitive information with exceptional discretion.
  • Coordinate across departments and executive offices to facilitate communication and execution of key initiatives.
  • Manage expense reporting, documentation and other administrative responsibilities with accuracy and efficiency.
  • Support special projects and ad hoc initiatives on behalf of the COO/CLO.
  • Remain highly responsive and adaptable as priorities evolve throughout the day.

Qualifications

  • +5 years of Chief of Staff or similar experience, ideally supporting a COO, Chief Legal Officer, General Counsel, CEO, founder or other senior C-suite executive.
  • Experience within financial services, private equity, investment management, family office, legal/professional services or another high-performance corporate environment strongly preferred.
  • Exceptional calendar management and organizational capabilities.
  • Demonstrated ability to anticipate executive needs rather than simply respond to requests.
  • Excellent written and verbal communication skills.
  • Strong judgment and the ability to operate independently with limited direction.
  • Exceptional attention to detail and ability to manage multiple priorities simultaneously.
  • High degree of professionalism, emotional intelligence and discretion.
  • Comfortable interacting with senior executives, board members, attorneys and other sophisticated stakeholders.
  • Strong proficiency with Microsoft Outlook, Word, Excel and PowerPoint.
  • Willingness to work in-office in New York City and provide flexibility when executive priorities require it.

Ideal Profile

The strongest candidate will be someone who is consistently two steps ahead and understands how to manage not only an executive's calendar, but also their priorities, information flow and follow-through.

They will be poised, intellectually curious, highly responsive and exceptionally discreet. They should be comfortable navigating senior-level personalities and highly sensitive business and legal matters while taking ownership without requiring constant direction.

The successful candidate will become a trusted partner to the COO & Chief Legal Officer, helping maximize the executive's effectiveness across a complex and dynamic organization.
