Chief of Staff & Site Lead

Hyphen Health is building a new kind of therapy experience: high-touch and clinician-focused.

​

We are seeking a Chief of Staff & Site Lead to work directly with the Founder, Dr. Carolyn Rubenstein, PhD, a clinical psychologist in private practice who has extensive experience in identifying and scaling early-stage startups.  Alongside Dr. Rubenstein, the Chief of Staff will build the operational backbone of our first location in Boca Raton and a playbook for growth.  This role blends founder support, site leadership, clinician growth, and systems building. You will be embedded on-site and responsible for ensuring the practice runs seamlessly, while helping design the playbook for expansion.

Responsibilities:  

Partner with the Founder by:  

• Translating strategic priorities into clear execution plans  
• Managing operating cadence (meetings, metrics, follow-ups)  
• Reducing administrative and cognitive load  

Oversee day-to-day operations of the Boca location including:  

• Optimizing scheduling, workflows, and clinician utilization  
• Maintaining a premium, hospitality-grade client experience  
• Building and documenting SOPs across intake, and operations

Help grow the clinician base by:  

• Building and managing a pipeline for recruiting new clinicians  
• Supporting onboarding and integration into the Hyphen model  

Build the playbook for scale including:  

• Identifying and implementing automation opportunities  
• Streamlining administrative workflows  
• Designing repeatable systems that enable multi-location growth

We are looking for someone who:  

• Has 2+ years of experience in a startup, healthcare, wellness, or high-touch service business  
• Is highly organized, structured, and detail-oriented  
• Takes ownership and initiative  
• Is comfortable executing administrative work while thinking strategically  
• Thrives in ambiguity and early-stage build environments  
• Is mission-aligned with mental health care  
• Is interested in growing into a Head or VP of Operations role as Hyphen expands  
• Can work primarily in person at the headquarters in Boca Raton, FL
