We are looking for an experienced PA, ideally with experience working with multiple c-suite executives.

Main Duties

  • Manage complex and ever-changing diaries, scheduling meetings and appointments with accuracy and discretion  
  • Prepare agenda and documents for meetings  
  • Note take/minute meetings  
  • Handle high volume email/call/messages for CEO/CCO where appropriate  
  • Coordinate all travel arrangements with full itineraries  
  • Running day to day errands eg, picking up lunches, coffees, dry cleaning etc  
  • Track and manage key deadlines, priorities and follow ups for the executive team  
  • Support with presentation preparation  
  • Liaise with all business departments to ensure seamless communication  
  • Organise events and coordinate meetings  
  • Assist with personal/lifestyle tasks ensuring a balance between work and personal life  
  • Be a trusted gatekeeper, ensuring only the most relevant information reaches the CEO/CCO  
  • Proactive mindset, anticipating needs and solving problems before they arise  
  • May be required to communicate with CEO/CCO, outside of normal working hours

Requirements

  • Previous experience as a PA/EA supporting c-suite executives  
  • Able to successfully multi-task and prioritise tasks  
  • Previous experience with diary management  
  • Exercise a high level of discretion and confidentiality at all times  
  • Resilient and professional under pressure  
  • Confident working in a fast-paced, entrepreneurial environment  
  • Adaptable and open to taking on ad-hoc tasks  
  • Strong communication and organisation skills  
  • Strong attention to detail  
  • High standards of personal presentation  
  • Proficient with Microsoft Office suite
