Job Overview
We’re seeking a proactive, highly organized, and exceptionally dependable Chief of Staff to partner directly with the CEO and leadership team in driving the operational, administrative, and strategic functions that keep the company running smoothly. This role sits at the intersection of business operations, people operations, finance, IT, and executive support. This position is ideal for someone who thrives in a fast-paced startup environment, can assist at off hours, anticipates needs before they arise, and enjoys owning a wide scope of responsibilities.
You will play a critical role in improving internal processes, managing key operational workflows, supporting strategic initiatives, and ensuring our people, systems, and tools are aligned for scale. The ideal candidate is a calm, solutions-oriented operator who can seamlessly toggle between high-level strategy and hands-on execution.
This is a hybrid role based in Santa Monica/West LA (expect to be in the office 3-4 days a week).
Key Responsibilities
Executive Support & Strategic Partnership
- Serve as a trusted partner to the CEO—acting as an extension of their capacity, judgment, and priorities.
- Manage complex and dynamic executive calendars across time zones; handle meeting logistics, travel, communications, and follow-through.
- Coordinate with internal and external stakeholders, ensuring smooth communication and seamless alignment.
- Track action items, priorities, and deadlines to ensure projects stay on course.
- Provide personal support and logistical assistance to optimize executive time.
- Maintain a high level of discretion, confidentiality, and professionalism at all times.
Business & People Operations
- Lead HR processes including payroll, onboarding/offboarding, open enrollment, and employee questions or policy clarifications.
- Oversee office operations, facilities coordination, vendor management, and onsite experience.
- Plan and execute company-wide events, off-sites, retreats, and team-building initiatives.
- Identify and implement process improvements across people, operations, and administrative workflows.
Finance, Systems & IT Coordination
- Support month-end close, budgeting activities, and financial record accuracy in partnership with the finance team.
- Ensure proper approvals and documentation are maintained across operational and financial processes.
- Partner with IT and security teams on employee access management, hardware setup, and system compliance.
- Manage IT vendors, including contract renewals, negotiations, and security reviews.
Cross-Functional Leadership & Special Projects
- Work across departments to drive alignment, unblock workflows, and improve operational efficiency.
- Manage high-importance, confidential, or urgent cross-functional initiatives on behalf of leadership.
- Act as an internal force multiplier by anticipating needs, identifying gaps, and creating systems that support scale.
Flexibility & Availability
- Willingness to support outside traditional hours, including evenings or weekends.
- Demonstrated ability to stay calm and effective under pressure, especially during rapid changes or unexpected challenges.
Professional Experience & Qualifications
- 5+ years of experience in Chief of Staff, Business Operations, People Ops, Executive Assistant, or similar high-responsibility roles in a startup or fast-paced environment.
- Exceptional project management, prioritization, and organizational skills.
- Proven ability to operate with discretion, handle confidential information, and exercise sound judgment.
- Strong interpersonal skills and the ability to work cross-functionally with teams at all levels.
- Demonstrated ability to manage multiple priorities with limited oversight while maintaining meticulous attention to detail.
- Experience managing HR processes or People Operations strongly preferred.
- Experience overseeing office operations, IT systems, or vendor relationships is a plus.
- Resourceful, adaptable, and energized by ambiguity, no task too big or too small.
