Chief of Staff

Full-time
Riga, Latvia
On-site

LIBERNETIX is building the infrastructure that powers global payments. We help businesses move money across borders through reliable payment solutions, intelligent routing, and operational excellence.

We’re looking for a highly organised, systems-minded operator to work directly with our CEO and help build the execution engine behind the company.

This isn’t a traditional Chief of Staff role. You won’t be writing strategy decks, managing calendars, or acting as an Executive Assistant. Instead, you’ll build the operating system that ensures leadership decisions turn into completed outcomes.

Your mission is simple: make sure nothing important falls through the cracks. You’ll create the structure, accountability, and execution cadence that enables our leadership team to move faster, stay aligned, and consistently deliver on company priorities. You’ll capture decisions, drive follow-through, surface risks before they become problems, and continuously improve how execution happens across the business.

If you enjoy bringing order to complexity, building scalable systems, and helping ambitious teams execute at a high level, you’ll thrive in this role.

Who You Are

  • You naturally create structure where others see chaos.
  • You take ownership instead of waiting for instructions.
  • You communicate directly and honestly—even when the message is uncomfortable.
  • You earn trust through reliability and consistency.
  • You stay calm under pressure and follow through.
  • You care more about outcomes than activity.
  • You have low ego and little patience for politics or bureaucracy.
  • You build systems that scale instead of becoming the bottleneck yourself.

What This Role Is Not

This is not:

  • An Executive Assistant role.
  • A calendar or travel management position.
  • A traditional strategic Chief of Staff role.
  • A reporting role focused on collecting updates.
  • A project coordinator position with no influence over outcomes.

Responsibilities

  • Build and own a single execution tracker for CEO and company-wide priorities.
  • Capture decisions and action items from leadership meetings and other key discussions.
  • Ensure every commitment has a clear owner, deadline, priority, and success criteria.
  • Drive follow-through by proactively working with senior leaders across the business.
  • Coordinate cross-functional initiatives involving multiple departments.
  • Maintain visibility over risks, blockers, dependencies, and overdue commitments.
  • Escalate execution risks early—before deadlines are missed.
  • Run the company’s weekly and monthly execution cadence.
  • Facilitate the weekly leadership execution review.
  • Prepare concise weekly, monthly, and quarterly execution reports for the CEO.
  • Build dashboards that provide transparent visibility into company priorities.
  • Design AI-powered workflows for meeting notes, action-item extraction, reminders, reporting, and escalations.
  • Continuously improve execution processes without introducing unnecessary bureaucracy.
  • Help departments build better execution habits instead of becoming the person who manages everyone’s work.

Requirements

  • Professional working proficiency in English.
  • 3+ years of experience in Program Management, Project Management, Delivery Management, Business Operations, or another execution-focused role.
  • Experience leading cross-functional initiatives across multiple teams.
  • Experience working directly with founders, CEOs, or senior leadership.
  • Exceptional organisational skills and attention to detail.
  • Strong ownership and the ability to independently drive work from ambiguity to completion.
  • Confidence to challenge assumptions, follow up with senior stakeholders, and hold people accountable.
  • Excellent written communication and analytical thinking.
  • Comfort operating in fast-moving environments with incomplete information.
  • Ability to identify risks early and escalate difficult issues proactively.
  • Hands-on experience with AI tools and workflow automation.
  • Experience with Google Workspace, Slack, and modern project management platforms.

Nice to Have

  • Experience designing OKR processes, executive operating rhythms, or management reporting.
  • Experience building dashboards and execution reporting systems.
  • Familiarity with Notion, ClickUp, Asana, Monday.com, Jira, Airtable, Zapier, Make, or similar tools.
  • Experience in fintech, payments, SaaS, or another high-growth technology company.

At LIBERNETIX, we work based on three core principles:

  • Taking Responsibility: We own our roles, decisions, and results. We speak up, act, and take things to completion.
  • Effectiveness: We focus on clarity, prioritization, and outcomes. Results matter more than formalities or hours spent.
  • Effective Communication: We communicate openly and directly, clarify expectations, and address issues early.

What We Offer

Unlimited vacation: We don’t limit vacation days. If you deliver results, you take the rest you need.

Flexible working hours: We don’t track start and finish times. Reliability and results matter more than schedules.
