Chief of Staff - Scaling Advertising Firm - Onsite in Los Angeles

The Chief of Staff will play a critical role in supporting the leadership team by managing executive operations, driving key projects, and ensuring the smooth day-to-day functioning of the business. This position will manage the CEO's priorities, oversee cross-functional initiatives, and act as the connective tissue between leadership and the broader organization. The Chief of Staff will act as a trusted right hand to senior leadership, translating strategy into action, keeping projects on track, and ensuring nothing falls through the cracks.

This is a role with significant room to grow. We're looking for someone who can excel in the day-to-day execution today, while building the strategic and operational judgment to take on a broader Strategy & Operations mandate as the company scales - with increasing ownership over financial planning, organizational design, and long-term strategic initiatives over time.

Key Responsibilities:

Executive Support & Operations  

  • Manage the CEO's calendar, priorities, and daily operations, ensuring time and attention are focused on what matters most  
  • Prepare briefing materials, presentations, and communications on behalf of leadership  
  • Act as a gatekeeper and air-traffic controller across competing priorities, escalating what needs attention and handling what doesn't  
  • Develop and implement scalable systems and practices to support business growth and ensure consistent operations as the company scales  

Project Management  

  • Own the successful execution of cross-functional projects, ensuring timelines, deliverables, and resources are managed efficiently  
  • Develop and maintain detailed project plans, tracking progress and proactively resolving obstacles  
  • Coordinate across departments to keep initiatives moving and ensure alignment with business objectives  
  • Build lightweight systems and processes that keep the team organized without adding unnecessary bureaucracy  

Strategic Execution  

  • Work closely with the executive team to translate strategic priorities into clear, actionable plans  
  • Track progress against company goals and flag risks or misalignment early  
  • Provide leadership support in decision-making by synthesizing information and surfacing key considerations  
  • Represent the CEO/leadership team in select meetings and follow up to ensure action items are completed  

Stakeholder Communication  

  • Serve as a communication bridge between departments, senior leadership, and external stakeholders  
  • Provide regular updates on key operational and strategic initiatives to the executive team  
  • Facilitate internal meetings and strategic discussions, ensuring clear agendas, notes, and follow-through  
  • Draft and manage internal communications on behalf of leadership  

Cross-Functional Coordination & Growth Path  

  • Partner with finance, HR, and other departments to ensure alignment on key initiatives  
  • Analyze business processes and recommend improvements to workflows and operations  
  • As the role evolves, take on increasing responsibility across financial planning, organizational development, and long-term strategic planning  
  • Help shape the operational backbone of the company as it scales, with a path toward a broader Strategy & Operations or COO-track role  

Qualifications:

  • Bachelor's degree in Business Administration or a related field  
  • 5+ years of experience as an Executive Assistant, Chief of Staff, Business/Project Manager, or similar role supporting senior leadership  
  • Strong project management skills with a demonstrated ability to manage multiple initiatives simultaneously and drive them to completion  
  • Experience working directly with C-suite or senior executives in a fast-paced, growth-oriented environment  
  • Excellent written and verbal communication skills, with the ability to synthesize information clearly for leadership  
  • Highly organized, detail-oriented, and able to anticipate needs before they arise  
  • Discretion and sound judgment when handling sensitive or confidential information  
  • Comfortable operating with ambiguity and shifting priorities in a scaling business  
  • Intellectual curiosity and a desire to grow into a broader strategy/operations role over time  
  • High proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and project management tools
