Chief of Staff
Overview
This is a rare opportunity for a highly seasoned Chief of Staff/Senior Executive Assistant to serve as a true right hand and trusted proxy to a globally connected Founder. Rather than a traditional administrative role, this position blends high-level support with strategic coordination across the Founder’s personal, professional, and global network. You will manage the Founder’s complex and ever-changing calendar, orchestrate seamless luxury travel across multiple time zones, and oversee all logistics with precision and foresight. You will also serve as a key communicator and relationship steward, crafting thoughtful correspondence, coordinating high-touch engagements, and ensuring the Founder’s network of leaders, influencers, and long-standing contacts remain engaged and valued.
Responsibilities:
Operational & Strategic Support
- Heavy calendar management
- Translate the Founder’s vision into actionable priorities with measurable outcomes.
- Coordinate initiatives across internal teams, advisors, and external partners to ensure alignment and execution.
- Track key commitments, projects, and philanthropic initiatives, driving follow-up and accountability.
- Take notes, track commitments, and ensure completion of action items from meetings and engagements.
Travel & Logistics Management
- Plan and manage high-touch luxury travel, ensuring seamless logistics and alignment with the Founder’s priorities.
- Prepare detailed itineraries, briefing materials, and background notes for domestic and international travel.
- Support the Founder on 25–50% of travel, ensuring each trip is purposeful and flawlessly executed.
Internal Team Coordination
- Communicate expectations clearly and ensure the highest level of performance from internal staff.
- Build scalable processes to manage complex operational workflows and team responsibilities.
- Maintain discretion and professionalism in all internal and external interactions.
Event & Convening Support
- Support the execution of exclusive gatherings and events alongside the Director of Strategic Engagement, focusing on operational excellence.
- Coordinate invitations, guest logistics, and post-event follow-up to ensure smooth operations.
Requirements:
- Family Office experience is a MUST
- 10+ years of senior executive assistance experience in Family Office, UHNW, or executive support roles.
- Exceptional project management and organizational skills with the ability to manage multiple high-priority initiatives.
- Strong attention to detail, discretion, and professionalism.
- Experienced in luxury travel planning and high-profile event execution.
- Ability to thrive in a complex, fast-paced, global environment.
