MAYA OKAFOR

Chief of Staff to the CEO

Chicago, IL · maya.okafor@email.com · (555) 010-1200 · linkedin.com/in/mayaokafor

Summary

First Chief of Staff at a 350-person, Series C home-health company. Wrote the role charter, built the operating system the leadership team now runs on, and gave the CEO back roughly 9 hours a week. Six years in strategy and operations across healthcare services and consulting, with a bias for systems that keep working after the meeting ends.

Experience

Carely · Chicago, IL

Mar 2022 – Present

Chief of Staff to the CEO (first in role)

Series C home-health platform · 350 employees · 14 states

  • Wrote the role charter with the CEO in my first 30 days: four areas owned (operating cadence, planning, board, special projects) and three explicitly not owned (people decisions, sales deals, product roadmap).Show how you defined the role.A charter with what it does not own tells a hiring CEO you will not sprawl.
  • Rebuilt the weekly leadership meeting around a shared decision log; cut the meeting from 3 hours to 90 minutes and closed 85% of actions within the agreed date across 9 executives. Before and after, with the size of the room.“3 hours to 90 minutes across 9 executives” proves the system worked, not just existed.
  • Returned ~9 hours a week to the CEO by moving recurring 1:1 status updates into a Monday written brief and routing 60% of inbound asks to functional owners.Give the CEO’s time back as a number.Hours returned is the clearest proof of an operating system.
  • Ran the FY24 and FY25 annual planning cycles: built the template, set the calendar with Finance, and brought five cross-team trade-offs to the CEO for decision before budgets locked.
  • Prepared quarterly board materials end to end with the CFO and General Counsel, including pre-reads, the CEO narrative, and post-meeting follow-ups tracked to close.
  • Led the 120-day launch of a payer partnership in two new states as a special project; coordinated clinical, legal and operations leads and hit go-live 3 weeks early.
  • Hired and managed a Strategy & Operations Associate in year two so the cadence and planning work no longer depended on me alone.Show you built leverage.Hiring behind you shows the role scaled past one person.

What to put in each section

  1. Summary, two lines at most

Name your executive, the company context, and the work you own. Skip it if it repeats your bullets.

  2. Recent role, the most space

Four to six bullets. Each one: your part, the scope, and a result you can support.

  3. Earlier roles, shorter

Keep the work that explains your fit. Use your actual job titles.

  4. Education and skills, one line each

Tools you use every week. Let the bullets show judgment and leadership.

Explore Fundamentals
Which example should I follow?

Pick the path closest to the work you do now, not the title you want. An EA moving into the role should study the EA example even if the target is Chief of Staff to the CEO. If your background mixes two paths, borrow the structure from the closer one and the bullets from the other. Then read one example a level above yours: that is the gap your next role needs you to close.

Can I use the CoS title if I have not held it?

No. Keep your real titles in your work history; reference checks will surface any change. Name Chief of Staff as your target in the headline or summary, then let the bullets prove the work: running the leadership cadence, owning cross-functional projects, preparing decisions for an executive. If your title understates the job, add a short clarifier after it, such as “Operations Manager (reporting to the CEO)”.

How long should my resume be?

One page under about ten years of experience, two pages at most after that. Length is rarely the problem; the order is. Put your most CoS-relevant role and its strongest three bullets in the top third, because that is often all a hiring CEO reads before deciding. Older roles can shrink to a single line with title, company and dates.

How do I describe confidential work?

Describe the decision and your part in it, and leave out the confidential substance, names and numbers. “Prepared the board materials for a strategic acquisition” says enough. When you cannot share a figure, use a relative one (“cut cycle time by a third”) or the scale (“a 400-person business unit”). Expect interviewers to ask for more, so prepare one sentence on the outcome you can share.

How do I know which level my resume reads at?

Compare your strongest bullets with the Leveling Framework, which sets out what hiring teams expect at each of the six levels. If most of your bullets describe tasks rather than decisions and results, it will read a level lower than your experience. For an outside read, send it for a resume review and we will reply with the level and what to change.

Do I need a course before I rewrite it?

No. A clear resume comes first. Where a course helps is the interview: hiring CEOs ask how you would run the operating cadence, prioritize across leaders, and handle a decision that stalls. Fundamentals covers those in 15 short email lessons, so you can answer with a method rather than an anecdote.

How do I meet people who already do this?

Free membership includes the career resources, job posts, and updates. Pro membership adds peer groups and training, which is where most people find a sounding board for an offer or a first 90-day plan. Connect is the annual conference and the city events.
