Chief of Staff

Our client operates two main divisions: Healthcare – Home Care and Clinical Research. The Home Care division provides skilled nursing and personal care to former uranium and nuclear weapons workers across 20+ states through community-based, trust-driven marketing and outreach. The Clinical Research division partners with pharmaceutical, biotech, and CRO clients worldwide, offering clinical trial site networks, mobile services, and patient navigation solutions. Its marketing focuses on digital lead generation, brand building, conferences, and leadership across the U.S. and Europe.

The Chief of Staff (CoS) is a strategic leadership partner to the President, responsible for turning vision into action, aligning the executive team, and maintaining organizational focus and discipline. Rather than handling administrative tasks, the CoS coordinates across departments—such as clinical operations, finance, research, IT, and marketing—to support the President in driving growth and innovation. The role ensures that strategic initiatives are well-aligned, actionable, and effectively executed and communicated across the organization.

Key Responsibilities:

Strategic Planning & Execution

  • Partner with the President to lead the annual strategic planning and goal-setting process (OKRs or equivalent), ensuring clear alignment across divisions.
  • Translate strategic priorities into actionable plans, timelines, and deliverables; track and report progress to the President and Board.
  • Coordinate quarterly leadership team meetings, business reviews and performance check-ins to ensure consistent execution and accountability.
  • Analyze the organization’s strategic direction and align resources to support top priorities.

Executive Leadership Team Management

  • Structure and facilitate First Team (FT) meetings—developing agendas, synthesizing key discussion points, and driving follow-up on decisions.
  • Serve as the “air traffic controller” for the executive team, ensuring focus on the highest-priority initiatives and timely completion of commitments.
  • Manage the cadence of leadership and strategic meetings, including agenda definition, materials, review cycles, and timelines.

Operational Discipline & Accountability

  • Establish dashboards and tracking systems for strategic initiatives, KPIs, and deliverables.
  • Identify bottlenecks and risks early, facilitate issue resolution, and remove roadblocks to execution.
  • Maintain visibility into all major initiatives and ensure the President is consistently briefed on progress and key developments.
  • Drive a culture of results and accountability across teams.

Executive & Internal Communications

  • Draft and refine high-impact communications on behalf of the President and leadership team (Board reports, company updates, all-hands presentations, and strategic memos).
  • Translate strategic priorities into clear, consistent internal messaging that reinforces alignment and transparency.
  • Ensure timely and consistent communication to facilitate a shared understanding of company priorities.

Special Projects & Strategic Initiatives

  • Lead and manage cross-functional initiatives that require senior-level coordination or fall outside traditional reporting lines (e.g., M&A integrations, enterprise process redesigns, operational efficiency projects).
  • Deliver high-impact solutions by identifying key issues, defining appropriate work structures, and driving actionable recommendations that create value.
  • Manage sensitive or high-visibility projects directly on behalf of the President.

Trusted Advisor & Integrator

  • Serve as a confidential advisor and thought partner to the President on strategic decisions, organizational challenges, and leadership dynamics.
  • Partner closely with the President to optimize time allocation and meeting effectiveness, ensuring the highest priorities receive focus.
  • Foster collaboration among executive leaders, mediate conflicts, and maintain an objective, “no-agenda” perspective.
  • Represent the President in select internal and external meetings, building strong, trust-based relationships with stakeholders.

Key Requirements:

  • MBA preferred. MHA, MPH, or other advanced considered
  • 8–15 years of progressive experience in management consulting, operations, strategy, or leadership roles within healthcare, life sciences, or adjacent regulated industries.
  • Proven experience managing or coordinating executive-level initiatives, strategic planning processes, or cross-functional projects.
  • Strong grasp of business operations; familiarity with regulated industries such as healthcare or life sciences environments preferred.
  • Strategic thinker with operational rigor—comfortable moving between 30,000-foot vision and ground-level execution.
  • Exceptional communication, synthesis, and influence skills.
  • High emotional intelligence; builds trust quickly across diverse stakeholders.
  • Strong project management, analytical, and organizational skills; disciplined follow-through.
  • Proactive problem solver who anticipates needs and navigates ambiguity effectively.
  • Discreet, ethical, and capable of handling highly confidential information.
  • Skilled in stakeholder management, relationship building, and change management.
  • Demonstrates strong business and financial acumen, data-driven in approach to solving problems.
  • Strategic initiatives executed on time and within scope.
  • President reports measurable increase in time available for strategic priorities.
  • Executive meetings are structured, efficient, and action-oriented.
  • ≥90% completion rate for executive action items within defined timelines.
  • Noticeable improvement in cross-departmental alignment and communication.
  • Selection and implementation of a strategic planning or execution management platform.
  • Maturation of strategic planning process
