As we continue to grow, we seek a strategic and dynamic Chief of Staff to support our leadership team, drive organizational efficiency, and oversee internal operations, freeing up the executive director to focus on external matters.

Position Overview

The Chief of Staff (CoS) is a strategic thought partner and key advisor to the Executive Director (ED). This role is responsible for ensuring alignment across the organization, leading strategic planning initiatives, managing cross-functional projects, and overseeing internal operations. The CoS will play a crucial role in shaping organizational culture, optimizing processes, and ensuring the effective execution of philanthropic initiatives.

Key Responsibilities

Strategic Planning

  • Collaborate with ED and leadership of all projects to set organizational priorities, track progress, and ensure strategic alignment
  • Facilitate strategic planning sessions, and ensure initiatives align with the philanthropy’s greater mission
  • Develop and implement key performance indicators (KPIs) to measure organizational success
  • Contribute to the development, evaluation, and refinement of program strategies

Project Management

  • Oversee and drive cross-functional projects from inception to completion, ensuring timely and successful execution
  • Identify and project manage key tasks and act as a liaison between departments to foster communication and efficiency
  • Monitor overall project implementation, assess risks, track progress, and provide regular updates to the Executive Director and Director of Programs

HR & Culture Development

  • Support leadership in shaping and maintaining an inclusive, values-driven workplace culture.
  • Manage internal team meetings, brown bag lunches, team meals and activities
  • Manage team calendar and coordinate
  • Partner with ED to implement professional development programs, performance management strategies, and employee engagement initiatives
  • Drive internal communications strategies to foster transparency and alignment across teams

Office & Community Management

  • Oversee day-to-day office operations, ensuring efficiency in administrative processes
  • Manage budgets related to office management, ensuring cost-effectiveness and operational sustainability
  • Serve as a point of contact for external partners and vendors
  • Help manage and be the point person for events happening at our office

Contractor & Vendor Management

  • Lead the selection, negotiation, and management of contractors and consultants for key projects, including events, branding, strategy, and reporting
  • Ensure vendor and contractor deliverables align with organizational goals and expectations
  • Liaise between internal teams who all share these resources

Special Strategic Projects

  • Help execute on high-priority projects identified by leadership, ranging from new program launches to organizational transformation efforts
  • Use a data-driven decision-making approach to all projects

Qualifications & Experience

  • Degree in a related field (e.g., nonprofit management, public policy, business administration) preferred
  • 7+ years of experience in strategic planning, operations, project management, or a related field, preferably within philanthropy, public sector, nonprofit, or social impact organizations.
  • Proven ability to drive complex projects, coordinate multiple stakeholders, and ensure accountability.
  • Experience with project management tools like Asana, and CRMs like Airtable
  • Strong leadership, analytical, and problem-solving skills with the ability to anticipate challenges and develop solutions
  • Excellent communication and interpersonal skills with a track record of building trusted relationships
  • Ability to work in a fast-paced, dynamic environment while maintaining a high level of attention to detail
