Chief of Staff & Executive Business Partner - Los Angeles
Join one of the leading AI technology companies shaping the future of Sports, Media, and Entertainment.
Who We Are Looking For
Proximity Works helps global brands discover high-impact AI use cases, build transformative tech stacks, and scale to hundreds of millions of users. Every day, we solve complex problems, push boundaries, and redefine what's possible.
As we scale new heights, we're looking for a Chief of Staff & Executive Business Partner who will serve as a force-multiplier and strategic partner to the CEO. You'll drive executive operations, manage high-priority projects, and represent Proximity in high-stakes conversations with CTOs, CEOs, investors, and strategic partners.
This is a launchpad into future leadership at Proximity.
Who You Are
You are a highly strategic, detail-oriented operator who thrives in dynamic, fast-paced environments. You instinctively protect the CEO's time, anticipate challenges, and can seamlessly balance hands-on execution with strategic oversight. You're not just a gatekeeper—you're a growth enabler.
You're an exceptional communicator, skilled at synthesizing information, and comfortable working directly with senior executives and external stakeholders. You bring a service mindset, a high degree of trust, and a relentless bias for action.
Requirements
What Makes You a Great Fit
- 7-12 years of blended experience in management consulting, business operations, strategic EA/Chief of Staff roles, or leadership roles in tech, media, or sports
- Exceptional communicator — you can write in the CEO's voice, draft board-ready updates, and represent the CEO confidently
- Operational powerhouse — you drive structure, efficiency, and accountability in fast-moving, complex environments
- Tech-forward mindset — proficient with tools like ChatGPT, Claude, Gemini, Notion, Asana, G-Suite, Airtable, and no-code/AI automation
- Highly trustworthy and discreet — you'll handle sensitive information and critical relationships
- Action-oriented leader — you don't just advise; you own and drive results
- Bonus: Ex-founder, early-stage startup operator, or someone with a network in OTT, sports-tech, or media innovation
What You Will Do
Executive Operations - Own the CEO's calendar, travel, inbox, and daily prioritization to protect focus and eliminate friction - Prepare high-quality briefing docs, agendas, meeting notes, and timely follow-ups for internal and external meetings
Strategic Partnering & Communications - Draft, refine, and manage board communications, investor updates, client emails, and internal decks - Join or occasionally represent the CEO in high-stakes external conversations with CTOs, CEOs, and investors, ensuring strategic momentum and flawless follow-through
Project & Process Management - Run OKRs and internal systems that keep the company's most important initiatives moving cross-functionally - Identify inefficiencies and implement no-code/AI automation to streamline workflows
Relationship Development & Market Research - Support the CEO's business development pipeline by researching key players, tracking warm intros, and maintaining a "last-touch" log for the top 50 external stakeholders - Coordinate conference participation, assist with prep for keynotes and panels, and maintain active engagement with the industry ecosystem
Data & KPI Stewardship - Maintain dashboards tracking sales pipeline, operational health, and talent OKRs - Surface data insights proactively and flag variances that need CEO or leadership attention
Mission & Success Metrics (First 12 Months)
Zero-friction calendar & inbox: - 12-hour triage SLA for CEO's inbox - 24-hour response SLA for external communications
Operating rhythm: - Deliver quarterly board-ready KPI dashboards and executive briefs on time
Growth leverage: - Help convert at least 5 net-new Sports/Media clients through CEO-led initiatives
Strategic projects shipped: - Successfully own and complete 2-3 high-impact initiatives (e.g., MetaVision pilots, CEO's speaking funnel)
Relationship health: Maintain up-to-date tracking and active momentum across the top 50 external stakeholders
Success Traits
- Radical Ownership
- Commercial Curiosity
- High Agency
- High EQ
- Analytical Clarity
- "No-Ego" Service Mindset
- Two-Steps-Ahead Anticipation
Career Growth
This is not an average Chief of Staff role. It's a high-impact, high-visibility position with a fast track into VP-level leadership across go-to-market, strategy, or operations based on your performance.
Compensation & Benefits
- Competitive base + meaningful equity
- Best-in-class health coverage
- Retirement/401(k) plan
- Annual off-sites with Proxonauts from around the world
- Immense visibility and growth alongside top-tier clients and industry leaders
