Mission

Behavioral health is more important than ever. But almost half of behavioral health clinicians report that they spend 5+ hrs per day on administrative work. Some of that admin work happens “in the room,” but no matter where it happens, we believe it’s too much. JotPsych’s mission is to defeat admin work and let clinicians practice human-centered healthcare. We already reduce note-taking time by 90%. But we’re just getting started. Billing, appointment scheduling, e-prescriptions, and more are right around the bend.

JotPsych: Background and Context

  • 🛗 Elevator pitch: JotPsych software listens to behavioral health providers while they talk to their patients (with consent, of course). A few seconds after the patient leaves the room, the provider already has a robust draft of the medical note waiting for them. Super customizable, easy to integrate with any current workflow. Medical note completely done and submitted for insurance reimbursement before the next patient enters the room. No more typing during the session, no more catching up on notes at home in the evening. Eye contact and peace of mind. 🧘
  • 🚀 JotPsych is a post-revenue, seed-stage software startup backed by Base10. The product currently reduces administrative time for behavioral health clinicians by 90% and is expanding to encompass other clinical and administrative workflows.
  • ⛓️ JotPsych was founded by Nate Peereboom and Jackson Bierfeldt. Nate’s mom was a nurse practitioner, so he grew up in the shadow of overwhelming medical documentation. Jackson is a language and audio nerd, and when GPT-3 hit the market, he knew something could be done here. The company is currently 6 FTE.
  • 🚀 JotPsych has scribed for 1.2m+ patient encounters in its first 12 commercial months. Our revenue grows 8-20% every month, and we are rapidly approaching $1.8M ARR.

Role

We’re looking for a dynamic Chief of Staff to work closely with our CEO, driving both strategic initiatives and day-to-day operations. This is a highly visible and impactful role, and you should think about yourself as part of the executive team. You'll take ownership of projects across the company, acting as a force multiplier for the CEO. From helping shape long-term strategy to managing urgent operational needs, you’ll be critical to ensuring that JotPsych operates at peak efficiency and continues to grow. This role is ideal for someone who thrives in ambiguity, possesses exceptional problem-solving skills, and is comfortable rolling up their sleeves to get things done. You’ll be responsible for a wide range of duties, including but not limited to: - Coordinating and facilitating strategic initiatives. - Managing special projects and cross-functional priorities. - Supporting external partnerships and client relationships. - Conducting research and preparing reports, presentations, and business reviews. - Overseeing internal communications and ensuring alignment across teams. - Analyzing key business metrics and helping develop data-driven insights. - Identifying operational bottlenecks and working to resolve them.

To give you a flavor for the work, recent initiatives/projects/priorities have included: - Designing our approach to e-prescriptions, including customer interviews, secondary research, and vendor evaluation - Rebuilding our website landing page to convey our longer term EMR strategy and sub-specialty specific differentiation - Defining our conference strategy and tailoring marketing materials to each - Increasing the sophistication of our digital ad campaigns and customer journey analytics using Google Tags and Analytics - Interviewing customers about our new billing feature, synthesizing feedback, and prioritizing product updates accordingly

As the Chief of Staff, you'll learn about every corner of the business and will be well-positioned to take on new and different roles on our team over time. Based on your interests, skills, and experience in the Chief of Staff role, we are open to constructing the right position for you within JotPsych in the longer term. We intend to place you into a C-Suite role after 1 year. The roles we’re looking to fill through internal + external hires that we imagine you would be eligible for include but are not limited to: - Chief Revenue Officer - Chief Operating Officer - Chief Analytics Officer - Chief Data Officer - Chief Strategy Officer - Chief Growth Officer - Chief Customer Officer - Chief People Officer - Chief Product Officer

Requirements

We’re looking for a team member with wildly high insight and a dogged work ethic. See Who and how we hire per above for more details. This particular role requires a great deal of flexibility, confidence, and attention to detail. Here is some more of what we’re looking for: - 2-4 years of experience in management consulting (Bain, McKinsey, BCG, etc.), investment banking (J.P. Morgan, Goldman, etc.) or equivalent operational roles at a high-growth startup. - Exceptional analytical skills with a proven ability to problem-solve and think strategically. - Strong interpersonal and communication skills, with the ability to influence and build relationships inside JotPsych, as well as with partners and customers - Highly organized with meticulous attention to detail. - Ability to manage competing priorities in a rapidly changing environment. - Strong sense of ownership and an “anything it takes” attitude to get the job done. - Experience working with cross-functional teams and managing complex projects. - Prior experience or interest in the healthcare industry, with a particular focus on provider workflows and experience and/or behavioral health. - High proficiency in Google Suite, Notion, Excel, and other project management tools.

Timing and location

We want to hire as soon as possible. 🏡 🚞 This full-time role is officially hybrid, but with a strong preference for candidates located in Washington, DC (our HQ) or New York/Baltimore/Philly (quick train rides away). Compensation

  • 45-Minute Video Interview
  • We’ll then ask you to complete a video interview with a member of the team.
  • Co-Working Day
  • A small group will be invited for a full day of co-working at our JotPsych HQ in DC. If you’re not local, we’ll fly you out. During the day, we’ll collaborate on a problem; in the evenings, we’ll have structured conversations about product direction, strategy, and vision.
  • Reference Checks
  • Finally, we’ll conduct three reference calls per candidate. We’ll need these from each of your last direct managers.
  • After reviewing your resume, we’ll schedule a 15-minute call to get to know you better.
  • Case Interview
  • Next, we’ll send you a short case interview. Plan for about two hours of work. You’ll receive all necessary materials in advance, but be prepared—it’s challenging!

Team Experience:

We deeply value the experience of gathering and working together, in our hometown but also elsewhere. Below is a snapshot of our “out of town” excursions. Every year, we travel to Cleveland for “Summer Camp”. Here are some shots from the 2024 and 2023. We rented a house and made huge strides in product development and sales. We secured our first paid customer, and pivoted to focus on behavioral health.
