About Acta

Acta is a forestation project developer working on large-scale carbon and biodiversity projects across Europe and Central Asia. We restore ecosystems, improve forest management, and generate high-integrity carbon credits in partnership with public and private stakeholders.

As Acta grows from a small founding team into a multi-country organisation, we are looking for a Chief of Staff to work alongside our CEO and keep the company’s priorities, people and projects moving in the same direction.

The Role

The Chief of Staff is the CEO’s right hand. You will manage the CEO’s priorities and follow-ups, run the company’s leadership rhythm, lead hiring and team build-out, and coordinate cross-team work so decisions get made on time and actually happen. You will also lead strategic special projects, from setting up a new country entity to preparing for an investor meeting.

This is a hands-on, high-trust role. A lot of the work is follow-through; the rest is working on whatever matters most to the company at the time.

Key Responsibilities

Managing CEO’s office

  • Manage the CEO’s priorities, agenda and follow-ups; prepare briefings before key meetings and drive actions after them
  • Draft correspondence, memos and internal communications in Bulgarian and English
  • Act as a point of contact for the team and external parties on CEO’s behalf when needed

Leadership rhythm and coordination

  • Run the leadership meeting cadence: agendas, minutes, decision logs and action tracking
  • Keep one clear view of company priorities, project milestones and owners, and flag slippage early
  • Coordinate cross-team deliverables (e.g. feasibility study write-up, investor packs, partner proposals): split the work, assign owners, track to completion
  • Own Acta’s task management and documentation standards (PM Tool, shared drives, meeting records)

People and organisation

  • Lead recruitment end to end: role design, job descriptions, sourcing, interview design, candidate assessment and offers, working with HR
  • Maintain the organisation structure, headcount plan and team cost model with Finance
  • Coordinate onboarding for new hires and consultants, including scopes of work and engagement terms
  • Support performance reviews and team routines as the team grows

Investors, board and reporting

  • Coordinate investor, board and investment committee materials, pulling inputs from finance, technical and business development leads
  • Prepare regular internal reporting on progress, risks and decisions needed

Strategic and special projects

  • Lead time-bound projects for the CEO, such as new country entity set-up, onboarding of country leadership, and internal tools and policies
  • Coordinate Acta’s participation in major events: logistics, materials and meeting schedules
  • Step in to cover gaps across the business when priorities shift

Profile

  • 5–8 years in strategy consulting, programme or PMO management, chief of staff or business operations roles; startup or scale-up experience a plus
  • Experience working directly with CEO's, partners or senior executives
  • Strong programme management: tracks many workstreams, owners and deadlines without losing detail (PMP or similar a plus)
  • Experience running recruitment processes or building teams
  • Excellent writer: clear briefings, minutes, memos and presentations, produced fast
  • Advanced Excel / Google Sheets and PowerPoint; comfortable with Asana or similar tools
  • Discreet and trustworthy with confidential information
  • Fluent Bulgarian and excellent English, written and spoken (both required)

Nice to Have (Not Required)

  • Exposure to carbon markets, climate, forestry or sustainability
  • Familiarity with Bulgarian employment processes and documentation
  • Experience supporting fundraising or investor relations

What This Role Offers

  • A front-row seat to how a climate company is built, working side by side with the CEO
  • Broad exposure across strategy, people, finance, investors and international projects
  • Real ownership, in a role that grows with you and with the company
  • A mission-driven team building projects that matter, at scale
