About the Role:

We are looking for an Associate Chief of Staff to the Founder & CEO. This individual will support the CEO as a hybrid Chief of Staff/Executive Assistant, taking on a range of day to day responsibilities, while enabling the CEO to focus efforts on more strategic initiatives. This is a rotational position, expected to last 18-24 months, after which the right candidate will be supported with future growth opportunities.

The ideal candidate will have 1-2 years of experience (internships can count towards this) in a dynamic environment (preferably consulting, investment banking, or startups) and is looking for a unique opportunity to learn the details of running a high growth startup.

Key Responsibilities:

Chief of Staff Duties

  • Be a proxy for the CEO in internal and external meetings. At times, attend meetings on behalf of the CEO, tracking key takeaways and action items
  • Coordinate the CEO's outreach activities and follow up on contacts made by the CEO to cultivate ongoing relationships with potential clients and investors
  • Lead special projects as assigned by the CEO, ensuring timely and successful execution
  • Put into place and oversee operational procedures that help the CEO better manage their meetings, team, and workload
  • Facilitate the effectiveness of the CEO, including preparation for important internal and external events (examples: Allara's All Hands, Board, and investor meetings)
  • Handle sensitive information in a confidential manner

Executive Assistant Duties

  • Manage the CEO's calendar, coordinate meetings, and provide support for external engagements
  • Manage and prioritize the CEO's inbox, ensuring timely and effective communication responses
  • Draft CEO communications as needed, such as written responses, agendas, and presentations
  • Assist CEO with miscellaneous or ad hoc needs, such as managing travel arrangements/logistics and some personal appointments
  • Maintain ongoing reports, databases, trackers, files, update and organize shared drives/files, update organizational charts, etc as needed
  • Assist with light financial work, such as bill payments and tracking
  • Handle sensitive information in a confidential manner

Qualifications & Skills:

  • Ability to manage multiple tasks, calendars, and projects efficiently, ensuring nothing falls through the cracks
  • Strong senior executive-level written and verbal communication skills
  • Maintains a high level of confidentiality and professional discretion when handling sensitive information
  • Capable of understanding the CEO's vision and priorities, aligning tasks and projects accordingly
  • Ability to anticipate obstacles, find solutions, and take the lead on complex projects or initiatives
  • Prior experience conducting in-depth research and presenting information in a clear, concise manner to aid decision-making
  • Able to collaborate effectively with diverse teams, possessing empathy and understanding to support the company culture.
  • Technical proficiency with Microsoft Office/Google Workspace products – especially Excel and PowerPoint (or equivalents)
