We are excited to announce that we are gearing up for our 24th annual Calgary International Film Festival. In order to further our operational capacity, we’re looking for a dynamic and engaged Operations Manager. The Operations Manager is responsible for overseeing front-line services and is a key contributor to the day-to-day operations of the Calgary International Film Festival in a year-round capacity.
This is a permanent, year round position beginning May 1, 2023 (start date is negotiable).
Day to Day Responsibilities:
- Have direct oversight of Bingo Coordinator, and handle all AGLC business including reporting, applications and volunteers
- Oversee Box Office, including direct oversight of Box Office Coordinator(s) from hire to contract completion; ensure recruitment, scheduling and training plans are in alignment with festival needs.
- Ensuring all box office functions, ensuring ticketing and customer experience standards and procedures are adhered to, interdepartmental needs are accounted for, and project timelines are on track.
- Oversee volunteer program including direct oversight of Volunteer Coordinator from hire to contract completion; ensure recruitment, scheduling and training plans are in alignment with festival needs.
- Have direct oversight of seasonal Venue Coordinator(s), from hire to contract completion; ensure recruitment, scheduling and training plans are in alignment with festival needs.
- Engage with hands on box office tasks and guest inquiries, during festival and year-round
- Coordinate and host training sessions for volunteers and seasonal staff.
- Participate in hands on festival venue operations when required, including both Front of House and Volunteer functions
- In collaboration with Chief of Staff, maintain and administer HR and health and safety documentation and policies
- Collaborate with marketing, engagement, and artistic departments to ensure all on-site logistics for events and screenings are planned for, scheduled, and managed.
- Assist with overall office management including completing inventories and contacting vendors
- Other duties as required
The successful candidate will have demonstrated the following in their cover letter and resume:
- Outstanding collaborator and team player
- A deep passion for community, and creating excellent experiences for guests
- Quick learner with ability to learn and develop new systems
- Exceptional communication skills, both verbal and written, with an attention to detail
- Experience managing and coordinating staff in the arts, festival and/or corporate sectors
- Experience in Human Resources
- Experience with event planning, execution and reporting
- Experience with volunteer coordination
- Experience with box office/ticketing management
- First Aid + CPR training
During the interview, we'll be looking for the following:
- A clear demonstration of your previous event planning, HR, and/or management experience
- What strategies and experience you have in developing and managing large scale projects, particularly in relation to staffing, events and/or box office
- Examples of your approach to the demands of high-energy festival and event environments
Approximate Hours of Work
An approximation of hours per week is below, dependent on operational needs and business flow. It is understood that shift work, weekend work, and work on statutory holidays may or will be required.
- November-December: 2 days a week
- January-February: 3 days a week
- March-October: Full Time
