The Chief of Staff is a vital part of the Inspiration team, supporting all aspects of the company’s growing business including HR and recruiting, finance/administration, IT and collaboration tools, marketing and communications, and helping manage customer and partner relationships. The role requires someone who is self-motivated, can solve problems creatively, and demonstrates extraordinary attention to detail. Depending on your experience and interests, you may also be involved in or manage impact/ESG reporting, research and analysis, and business development. Reporting directly to the CEO, you will lead the design and implementation of the systems and processes necessary to scale the organization.
This position is directly responsible for designing, building and managing the systems and processes that will facilitate the growth of Inspiration. You will take charge of functions like HR, Operations, IT, and, depending on qualifications, may own Marketing, Communications, Impact/ESG reporting, and Government Relations / Stakeholder Engagement. You’ll interact with leaders across the company to meet the business demands of a rapidly growing platform and provide the tools and systems to maximize team coordinate and effectiveness. Together with the CEO, you will ensure Inspiration builds a purposeful, mission-driven, fun organization and culture, helping to attract and retain the best talent in the industry.
Ø Establishing and overseeing core business processes for the Company, including payroll, benefits, taxes, and recruitment / talent pipeline development, IT, etc.
Ø Vetting, recommending and implementing corporate tools and systems such as CRM, planning and project management, scheduling, etc. to boost productivity and coordination. Manage external IT firm and landlords / office facilities. Oversee and manage recruitment to meet hiring requirements.
Ø Establishing and overseeing data management systems for legal and financial records and shared corporate documents,
Ø Managing the “on-boarding” process for new employees, including IT/communication set-up, payroll, etc.,
Ø Facilitating the recruiting process by organizing interview schedules and helping to attract good candidates,
Ø Assisting to find office space and manage landlord relationships,
Ø Supporting the creation of customer presentations and proposals, monthly Board reports, etc.,
Ø Managing travel and team events,
Ø Providing general office management support as needed.
Ø Develop ESG tracking strategy and tools, including potential external partnerships or solutions. Ensure timely ESG tracking and reporting.
Ø Plan and execute Inspiration’s communications strategy in conjunction with external agencies; lead development of marketing materials, manage social media feeds / blog, coordinate updates to the company’s website
Ø Identify, develop and manage relationships with key industry stakeholder groups including trade associations, NGOs, etc.
Ø 7+ years of experience as Chief of Staff or in relevant operations, finance, or management roles.
Ø Experience managing or participating directly in the core functions required: HR, Operations, IT, budgeting. Marketing, ESG/sustainability, and/or government relations/stakeholder management a plus.
Ø Experience working with core business tools such as CRM, project management apps, communications apps (Slack, Teams, etc.), scheduling apps (Calendly or others), etc.
Ø Demonstrated track record of designing and implementing processes and systems and helping a fast-growing organization scale effectively.
Ø Analytical, highly-organized, detail-oriented, and an excellent communicator (oral and written)
Ø Proven ability to work in a dynamic, fast-paced environment where everyone is expected to balance multiple roles and commitments.
Ø Entrepreneurial team player, willing and able to work long hours and contribute in multiple ways in a start-up environment.

Ø Bachelor’s Degree required. MBA or other relevant graduate degree preferred.
