If you have extensive experience with C-Suite executives and would relish the opportunity to operate with and on behalf of a successful, fast-moving, serial entrepreneur, you might be the perfect candidate for the Chief of Staff (COS) role supporting our Founder and CEO.
We’re looking for a dynamic, organized, and highly effective individual for the critical and strategic COS role. At our fast-paced, growing company, the COS is a trusted advisor to the CEO who oversees and optimizes the CEO’s professional and personal life. As the CEO’s right hand, the COS exercises exceptional time management, project management, prioritization, and preparation skills to ensure the eight-person C-Suite stays focused on the continued growth and well-being of the company while also supporting the CEO’s personal and philanthropic initiatives. The COS acts as an extension or representative of the CEO in business and personal matters.
What You’ll Do
Support the CEO by ensuring smooth operations throughout the organization and the personal life of the CEO.Manage a diverse range of tasks with a sense of urgency that includes availability in early mornings, evenings, and weekends. Represent the CEO and CEO Office Team with professionalism, effectiveness, and kindness. Manage the corporate C-suite as an extension of the CEO. Serve as the single, highest point of accountability for the CEO, managing all members of the CEO Office Team (Executive Assistants, Executive Personal Assistant, and others) and indirectly managing the CEO’s personal house staff via Executive Personal Assistant. Set the agenda and initiatives for the CEO’s Office and monitor accountability of the CEO Office Team’s projects while ensuring a sense of urgency. Manage the flow of communication between members of the C-Suite, making sure that initiatives achieve expected results and projects stay on time and within budget.Support the strategies of the CEO with intensive follow-up, review, and management of projects before they reach the CEO’s attention and ensure that deadlines are met. Keep the CEO informed on company and personal life initiatives on a need-to-know basis, making sure the CEO is rarely surprised by new information from others. Provide oversight of the CEO Office Team’s work in order to keep CEO at highest level of efficient operation. Make discretionary and intentional decisions on CEO’s priorities to manage the calendar, ensuring the appropriate focus on highest priorities. Communicate on behalf of the CEO in email and correspondence in the appropriate tone. Lead hiring process for all C-Suite hires. Serve as a “force multiplier” to increase the productivity of the CEO while managing and minimizing the stress of the CEO.Travel (up to 60%) on short notice and accommodate changes in travel plans or duration. Employ advanced problem-solving skills to address issues in the personal and professional life of the CEO, updating CEO as needed. Prepare presentations and meeting materials on behalf of CEO. Approve presentations and meeting materials from stakeholders prior to meetings with a focus on ensuring each meeting has appropriate data readily accessible. Represent CEO in internal and external stakeholder meetings to provide oversight of critical processes and projects. Provide direct oversight and management of the CEO’s important or time-intensive projects (personal and professional). Facilitate collaboration across C-Suite to assess KPIs, maximize efficient use of resources, and evaluate team performance data. Review comprehensive business initiatives and provide sound guidance on business decisions. Meet with department heads to advise on strategy and issues, attend C-Suite meetings, and coordinate C-Suite roundtable discussions on strategy. Manage the dissemination of information to C-Suite, keeping them informed of upcoming commitments, responsibilities, and changes in our rapidly evolving and fluid environment. Identify and manage external partnerships on behalf of the CEO and the organization. Work closely with the CEO on directives given to stakeholders and deliverables due, supporting the team members to achieve the desired results while updating CEO on impending or missed deadlines. Identify and manage philanthropic initiatives, contributions, and relationships on behalf of the CEO, personally and professionally. Manage CEO’s memberships in external organizations. Demonstrating our corporate philosophy of philanthropy and service and “reach” by serving communities on a local, state, and national level with board involvements and appointments. Build, manage, and maintain relationships with business contacts, personal contacts, vendors, and contractors on behalf of the CEO. Provide oversight and guidance on CEO’s major acquisitions– businesses, homes, jewelry, airplanes, automobiles, collectibles, etc. Exercise the utmost discretion and confidentiality to protect the privacy of the CEO and his family.
Requirements
Education/Experience and Other Requirements
MBA (or equivalent experience) with 10+ years of experience supporting C-Suite preferred; BS/BA in Business Administration or relevant field acceptable. 7+ years of experience as an Executive Assistant to a full C-suite. 5+ years of experience as a Chief of Staff at a fast-growing, midsize company. A fundamental understanding of data analytics and a critical thinking ability to extrapolate trends from data and infer appropriate operational interventions. 7+ years of advanced experience with Microsoft Office. Legally allowed to work in the United States.Must be free to travel (up to 60%) on short notice and accommodate changes in travel plans or duration.Willingness to sign a confidentiality agreement. Must maintain clean background/drug screenings and driving record.
