Position Overview: At Deep Labs, we have grown successfully due to our differentiated platform offering that solves for the most challenging use cases for the world’s largest Payments players.  To continue this trajectory, we are searching for a highly qualified chief of staff to work closely with our executive team and our Chief Executive Officer.   From day one, the Chief of Staff will have an immediate impact on our productivity, streamlining strategic initiatives, overseeing program management, and communicating objectives between departments. Objectives of this Role:

- Oversee strategic business initiatives from development through successful execution under the guidance of senior leadership and departmental heads- Assist and communicate with executives in decision-making, program management, and initiative implementation- Assist the CEO in formulating the strategy and direction of the business through the assimilation of the data and the input needed to make informed decisions- Assist in the development of acquisitions targets lists and the evaluation of their fit with the business- Assist in the planning and coordination of communication with the board and investors- Systematize the strategic planning processes in the company and help align them across the various departments

Daily and Monthly Responsibilities:

- Strategically managing a leader’s time: working with an assistant, looking at long-term travel calendar, evaluating opportunities, and determining fit with priorities.- Key focus on Human Capital Strategy and liaise with HR to onboard talent for critical roles.- Meeting preparation and follow-up: reviewing upcoming meetings for the week to ensure the leader has all the information needed to be as productive as possible and sending out agendas or documents to meeting attendees, as necessary.- Reviewing Internal and External Communications: drafting company newsletters, reports, pitch decks, or presentations for the CEO.- Monitoring information flow, ensuring the CEO’s involvement in a project or decision- making process at the right moment- Maintain an evolving map of the Executives’ Role Responsibilities and Goals.- Stay in close sync with the CEO on priorities/challenges/strategies.- Monitor key initiatives and ensure the CEO is on track to fulfill all goals: weekly, monthly, and quarterly.- Draft emails and internal communications for the CEO.- Draft memos reports and/or agendas for the Executive.- Coordinate with administrative support to prioritize and manage the Executive’s commitments.- Act as the communication coordinator to ensure timely and consistent follow-up and reporting.
  • Meeting & Event Preparation

    • Managing the meeting cadence for the board of directors, and leadership team, ensuring materials are sent in advance, time is well spent, and objectives are achieved.
    • Planning and leading company retreats, strategic planning sessions, and other special events.
  • Project Management

    • Overseeing large, often cross-functional organization-wide projects or initiatives.
    • Bring together multiple stakeholders and help drive decisions.
    • Researching, benchmarking, analyzing data, and making recommendations.
    • Creating systems and processes to streamline operations.
  • Strategic Planning

    • Leading the strategic planning processes for the company
    • Translating the output of the planning processes in action-orientated plans for each of the responsible executives
    • Following up and holding all executives accountable for the outcomes/ deliverables
  • Operational Processes

    • Creation and updating of operational KPIs and dashboards that are used to manage the business and ensure that metrics and objectives are being met
  • Engage Stakeholders

    • Ensure the CEO’s commitments to key stakeholders are met in a timely manner.
    • Stay in close sync with reports and stakeholders on immediate and long-term priorities.
    • Clarify deliverables and hold both the Executive and stakeholders accountable.
    • Troubleshooting; quickly identify problems and develop creative solutions.
    • Undertaking or managing some research projects to further the Executive’s communications or strategic priorities.

Qualifications & Requirements

- Bachelor’s degree or equivalent- Excellent English communication skills – oral and written- Strong work ethic and attention to detail- Good interpersonal skills (including the ability to work with seniors and juniors with equal humility)- High empathy (finds the best way to interact with various stakeholders)- Highly adaptive, a quick processor, thrives on ambiguity- Reliable judgment/ common sense- Able to prioritize quickly & effectively- Excellent synthesis and strategic thinking- Strong communicator- Highly organized and skilled at multi-tasking- Strong ability to work with numbers, basic finance, and MS Office suite skills- Ability to work across global time zones on a frequent basis
